Email templates

Create reusable email templates with merge fields to save time on repetitive outreach. Load templates in one click when composing any email.

Creating a template

  1. Go to Email Inbox → Templates. Click the Templates tab at the top of the Email Inbox page.
  2. Click Create Template. A blank compose form opens with subject and body fields.
  3. Write your subject line. Use merge fields if needed — for example: {{first_name}}, quick follow-up.
  4. Write the body. Use the rich text editor to format your content. Insert merge fields wherever you want lead-specific data to appear.
  5. Give it a descriptive name. Choose something you will recognize later, like "New lead intro" or "Post-call follow-up."
  6. Click Save. Your template is now available to use when composing any email.
Name templates by their purpose, not their content. "Post-showing follow-up" is easier to find than "Hi {{first_name}}, thanks for..."

Merge fields

Merge fields are placeholders that get replaced with real lead data when the template is loaded. Use them in both the subject line and the body.

If a merge field has no data for a particular lead (e.g., no company on file), it will be replaced with a blank space. Review emails before sending to catch any gaps.

Using a template

Templates can be loaded from anywhere you compose an email — the Email Inbox, a lead's Email tab, or the bulk email composer.

  1. Start composing an email. Open the compose view from the Email Inbox or a lead's detail page.
  2. Click Use Template. A list of your saved templates appears.
  3. Select a template. The subject and body populate immediately. Merge fields are replaced with the current lead's data.
  4. Edit if needed. Add personal touches, update details, or adjust the message for this specific lead.
  5. Send. The email goes out just like any other — with full open and click tracking.

AI rewriting

Give any template a fresh spin without rewriting it from scratch. Click Rewrite with AI on a template and Cori will rephrase the content in a different tone or style while preserving your merge fields.

Review the rewritten version, then save it as a new template or overwrite the existing one.

Try rewriting the same template in 2–3 different tones and save each version. Use the more casual one for warm leads and the formal one for cold outreach.

Managing templates

All your templates live in Email Inbox → Templates. From here you can:

Templates are shared across your organization. Any team member can use, edit, or delete templates created by anyone on the team.

There is no limit on the number of templates you can create. Build a library for every stage of your sales process.

Can I use templates in bulk email?+
Yes. When composing a bulk email from the Leads page, click Use Template to load any saved template. Merge fields are populated individually for each recipient, so every lead gets a personalized version of the same template.
Are templates shared with my team?+
Yes. Templates are organization-wide. Any team member can view, use, edit, or delete any template. This makes it easy to maintain a consistent voice across your team.
Can Cori create templates from scratch?+
Yes. When creating a new template, click Ask Cori and describe the email you need — for example, "Write a follow-up template for leads who attended an open house." Cori generates a complete template with merge fields included. Review and save it.
Is there a limit on how many templates I can create?+
No. You can create as many templates as you need. We recommend organizing them with clear, descriptive names so your team can find the right one quickly.
Can I duplicate a template?+
Yes. Open the template you want to copy, make your changes, and save it with a new name. This is the fastest way to create variations for A/B testing or different audiences.
