Build reusable audience segments based on lead attributes so you can send the right message to the right people every time.

How segments work

A segment is a saved set of filter criteria that dynamically groups your leads. Unlike a static list, segments update automatically as your lead data changes — new leads that match the criteria are included, and leads that no longer match are removed.

Segments are used primarily when selecting recipients for email campaigns, but they also help you understand how your audience breaks down across different attributes.

Creating a segment

  1. Go to Email Marketing in the sidebar, then click Audience.
  2. Click Create Segment.
  3. Give your segment a descriptive name (e.g., "Hot leads in Ontario" or "Facebook leads last 30 days").
  4. Add one or more filter criteria using the condition builder.
  5. Combine multiple conditions with AND (all must match) or OR (any can match).
  6. The matching lead count updates in real time as you add or change conditions.
  7. Click Save Segment.

Combining conditions

Use AND when leads must match every condition. Use OR when matching any one condition is enough.

Example: "Status is Hot AND Source is Facebook" returns only hot leads from Facebook. Changing to OR would return all hot leads plus all Facebook leads, regardless of status.

Using segments in campaigns

When creating a campaign, choose Saved Segment as your recipient source and select the segment. The campaign will be sent to every lead matching the segment criteria at the time of sending.

Because segments are dynamic, the recipient list is calculated at send time, not when you create the campaign. If leads are added or change status between campaign creation and send, the audience may differ slightly.

What is the difference between a segment and a tag?+
A tag is a label you manually apply to individual leads (e.g., "VIP" or "Buyer"). A segment is a dynamic filter that automatically groups leads based on criteria — including tags. You can create a segment that filters by a specific tag, but the segment can also combine tags with other conditions like status, source, and date range.
How often do segment counts refresh?+
Segment counts update in real time. When you view the Audience page, each segment displays its current matching lead count. The count also updates live as you build or edit criteria in the condition builder.
Can a lead be in multiple segments?+
Yes. A lead can match the criteria of any number of segments simultaneously. For example, a lead tagged "Buyer" with status "Hot" would appear in both a "Buyers" segment and a "Hot leads" segment.
Is there a limit to how many segments I can create?+
There is no hard limit. Create as many segments as you need to organize your audience effectively.
Will deleting a segment remove leads from my account?+
No. Deleting a segment only removes the saved filter. Your leads are not affected in any way.
