Scheduling meetings
Book meetings with leads, add details and attendees, and send .ics calendar invites — all without leaving Asan. Cori AI can even detect meeting times mentioned during calls and suggest creating them for you.
Creating a meeting
There are two ways to create a new meeting:
- From the Calendar page. Click the New Meeting button in the top-right corner, or click any empty time slot on the day or week view.
- From a lead profile. Open a lead's detail page and click Schedule Meeting in the activity section. The lead is automatically added as an attendee.
When you create a meeting from a time slot, the date and start time are pre-filled so you only need to add the title and attendees.
Meeting details
Fill in the following fields when creating or editing a meeting:

| Title | A short name for the meeting (e.g., "Discovery call with Sarah"). |
| Date & Time | Start date and time in your local time zone. |
| Duration | Choose 15, 30, 45, or 60 minutes — or enter a custom duration. |
| Attendees | Search by lead name, email, or phone number. Add as many attendees as needed. |
| Description | Optional notes or agenda items visible to all attendees in the invite. |
| Location | A physical address, or leave blank if the meeting is virtual. |
| Video link | Paste a Zoom, Google Meet, or Teams link. It will be included in the calendar invite. |
Sending calendar invites
When you save a meeting with attendees, Asan sends each attendee an .ics calendar invite via email. The invite includes:
- Meeting title, date, time, and duration
- Description and location or video link
- An Add to Calendar button that works with Google Calendar, Outlook, and Apple Calendar
Invites are sent from your Asan account email. Make sure your leads recognize your email address to avoid the invite landing in spam.
If you reschedule or cancel a meeting, updated invites are sent to all attendees automatically.
Cori AI meeting detection
During phone calls, Cori AI listens for scheduling language like "Let's meet on Thursday at 2 PM" or "How about next Monday morning?" When Cori detects a meeting time:
- Suggestion appears. After the call ends, Cori shows a meeting suggestion in the post-call summary with the detected date, time, and lead name pre-filled.
- One-click create. Click Create Meeting to accept the suggestion. The meeting is added to your calendar and an invite is sent to the lead.
- Edit before saving. Click Edit to adjust the time, duration, or details before confirming.
Cori's meeting detection works best when specific dates and times are mentioned during the conversation. Vague references like "sometime next week" will not trigger a suggestion.
Frequently asked
Can I schedule a meeting without sending an invite?+
Yes. Uncheck the Send invite toggle before saving. The meeting will appear on your calendar but no email will be sent to attendees.
What happens if the lead does not have an email?+
The meeting is created on your calendar, but no invite is sent. You can add their email later from the lead detail page and resend the invite.
Can I add team members as attendees?+
Yes. The attendee search includes both leads and team members. Team members receive the invite and the meeting appears on their Asan calendar as well.
Does Cori detect meetings in every call?+
Cori analyzes the transcript of every recorded call. Meeting suggestions only appear when a specific date or time is mentioned. If no scheduling language is detected, no suggestion is shown.
Can I create recurring meetings?+
Not yet. Currently each meeting is a one-time event. For repeated check-ins, create individual meetings or use the booking page so your lead can reschedule themselves.
