Notes & @mentions
Add internal notes to any lead and @mention teammates to bring them into the conversation. Notes are visible only to your team — leads never see them.
Adding a note
- Open the lead detail page. Click on any lead from your leads list or Kanban board.
- Go to the Notes tab. You will see existing notes (if any) and a text area at the top to write a new one.
- Type your note. Notes support basic formatting so you can structure your thoughts clearly.
- Click Save. Your note is saved immediately and visible to all team members who have access to this lead.
Use notes to log the outcome of every call or meeting. This builds a history that any teammate can review before their next interaction with the lead.
Using @mentions
@mentions let you tag a teammate directly in a note, so they receive a notification and can jump straight to the relevant lead.
- Type @ in your note. A dropdown appears showing matching team members as you type.
- Select the person. Click their name from the dropdown to insert the mention.
- Save the note. The mentioned teammate receives an in-app notification with a direct link to the lead and note.
You can @mention multiple people in a single note. Each person receives their own notification.
Only team members within your organization appear in the @mention dropdown. You cannot mention people outside your team.
Managing notes
- Edit — click the edit icon on any note you authored to update its content.
- Delete — click the delete icon to remove a note permanently. This action cannot be undone.
- Author & timestamp — every note displays who wrote it and when, so you always know the context.
- Ordering — notes appear in reverse chronological order (newest first), so the latest update is always at the top.
When to use notes

Notification behavior
When you @mention a teammate, here is what happens:
- Bell indicator — the mentioned teammate sees a notification badge on their bell icon in the top navigation bar.
- Direct link — clicking the notification opens the lead detail page and scrolls to the relevant note.
- Email notifications — email alerts for @mentions can be configured in Settings → Notifications. By default, email notifications are enabled so teammates do not miss important mentions.
Use @mentions instead of Slack or email when discussing a lead — it keeps the context attached to the lead record where your whole team can find it later.
Tips
- Always log a note after a call or meeting — even a one-liner like "Left voicemail" helps the next person who touches this lead.
- @mention your manager on high-value leads so they can jump in at the right moment.
- Use notes to explain why you changed a lead's status — "Moved to Hot because they requested pricing" is far more useful than just moving the card.
- Before calling a lead, scan the notes tab to see what your teammates have already discussed with them.
Frequently asked
Can leads see my notes?+
No. Notes are strictly internal and visible only to your team members. Leads have no access to your CRM and will never see any notes you write.
Can I @mention multiple people in one note?+
Yes. You can @mention as many teammates as you need in a single note. Each person receives their own notification linking to the lead and note.
Can I search notes?+
Notes are visible on each lead's detail page. Use the global search to find leads, then review their notes. Full-text note search across all leads is on our roadmap.
Are notes included in exports?+
When you export leads to CSV, notes are not included in the export file. Notes remain in Asan and are accessible through the lead detail page.
Can I attach files to notes?+
Notes currently support text content. File attachments are not yet available but are planned for a future update. In the meantime, you can paste links to files stored in Google Drive or Dropbox.
