Facebook lead forms

Automatically import leads from your Facebook and Instagram lead form ads into Asan CRM the moment someone submits the form — no CSV downloads, no delays.

Connect your Facebook account

  1. Go to Settings → Integrations.
  2. Click Connect next to Facebook Lead Forms.
  3. Authorize Asan CRM. You will be redirected to Facebook. Log in and grant the requested permissions to allow Asan CRM to read lead data from your pages.
  4. Select your Facebook Page. After authorization, choose which page(s) to watch for new form submissions.
You must be an admin of the Facebook Page to connect it. If you manage the page through Business Manager, make sure your personal Facebook account has admin access to the page.

Field mapping

After connecting, map your Facebook form fields to Asan CRM lead fields so data lands in the right place:

Standard fields (name, email, phone) are mapped automatically. If your form includes custom questions, map them to custom fields in Asan CRM or have them appended to the lead's notes.

Routing rules per form

If you run multiple Facebook lead form ads, you can route leads from each form to a different agent or pipeline stage. This ensures the right person follows up on the right leads.

  1. Go to Settings → Routing Rules.
  2. Add a new rule. Select Facebook Form Name as the condition field.
  3. Choose the form from the dropdown selector. Asan CRM pulls your form names directly from Facebook — no need to type them manually.
  4. Set the action. Assign to a specific agent, move to a pipeline stage, add a tag, or any combination.
Routing rules are evaluated in order from top to bottom. The first matching rule wins. If no rule matches, the lead follows your default assignment settings.

Auto-SMS reply

Speed-to-lead matters. You can configure an automatic SMS that fires the instant a new lead arrives from a Facebook form — before any agent even sees the notification.

  1. Open the Facebook integration settings.
  2. Enable Auto-SMS Reply for the form you want.
  3. Write your message. Use merge tags like {{name}} to personalize the text. Example: "Hi {{name}}, thanks for reaching out! When is a good time to chat?"
Auto-SMS messages count toward your plan's monthly SMS cap. Make sure you have enough SMS credits before enabling this on high-volume forms.

Testing your integration

Before launching a paid ad campaign, verify that the integration is working correctly:

  1. Use Facebook's Lead Ads Testing Tool. In your Facebook Page settings, go to Publishing Tools → Lead Ads and click Test next to your form.
  2. Submit a test lead. Fill in the form with test data and submit.
  3. Check Asan CRM. The test lead should appear in your leads list within a few seconds. Verify that the fields are mapped correctly and routing rules applied as expected.
If the test lead does not appear, check that your Facebook Page connection is still active in Settings → Integrations. Tokens can expire if permissions are changed on the Facebook side.
