Managing your leads

The leads table is your central workspace. Every lead in your CRM lives here — search, filter, sort, and take action on them individually or in bulk.

The leads table at a glance

Navigate to Leads in the sidebar to open the leads table. Each row shows the lead's name, email, phone, company, status, source, assigned agent, and tags. Columns are sortable — click any header to sort ascending or descending.

The leads table remembers your last filter and sort choices, so you pick up right where you left off when you come back.

The search bar at the top of the table accepts free-text queries. You can search by:

Results update as you type. Clear the search to return to the full list.

Filtering and sorting

Use the filter controls above the table to narrow your view. You can combine multiple filters at once:

Filters stack — selecting Hot status and a specific agent shows only that agent's hot leads.

Table vs. Kanban view

The toolbar includes a view toggle. Switch between the default table view (list of rows) and the Kanban view (cards in status columns). Both views respect the same filters. See Kanban pipeline board for details on the visual board.

Opening a lead

Click any lead row to open its detail page. The detail page gives you the lead's full profile, activity timeline, notes, tasks, calls, emails, and meetings — all on one screen.

Taking bulk actions

Select one or more leads using the checkboxes on the left side of each row. A bulk action toolbar appears at the top with options for email, SMS, edit, and delete. See Bulk actions for the full list.

  1. Check the box next to each lead you want to act on — or use Select All to select the entire page.
  2. The toolbar appears with the count of selected leads.
  3. Choose an action: Bulk Email, Bulk SMS, Bulk Edit, or Bulk Delete.
  4. Confirm the action in the dialog that appears.

Frequently asked

How many leads can I have?+
There is no limit on the number of leads you can store in Asan CRM. Your plan limits apply to communication actions (calls, SMS, emails), not to the number of lead records.
Can I export my filtered view?+
Yes. Apply your filters first, then click Export in the toolbar. The CSV export respects your current filters and includes all matching leads.
How do I change a lead's status?+
Click the lead to open the detail page and change the status dropdown. You can also use bulk edit to change the status of multiple leads at once, or drag leads between columns in the Kanban view.
What does the colored dot next to a lead's name mean?+
The dot indicates the lead's current status: red for Hot, orange for Warm, blue for Cold, green for New, and gray for Nurture.
